Introduction, Vision & Mission
▪ Department Introduction
The Department of Registration and Student Affairs is considered one of the essential departments in the university's structure. Its responsibility connects directly to the core activity of the university—namely, students and graduates—and everything related to their affairs, such as admission, registration, transfer, hosting, and others. The Department of Registration and Student Affairs reports directly to the Assistant President for Scientific Affairs.
Vision
Fluency in accomplishing work and flexibility in handling, coupled with moving away from routine and adopting modern technology to ensure the student's right and obtaining information in a timely manner.
Mission
The Department of Registration and Student Affairs was established to serve students and meet their legitimate requests guaranteed by approved ministerial instructions and laws.
Head of Department
Prof. Dr. Samira Mohammed Salih Al-Samarrai
Possesses extensive academic and administrative experience in managing student affairs, registration, and university academic work.
Department Objectives
- The department, with all its personnel, aims to execute and accomplish tasks at the highest level of mastery and professionalism, and build bonds of trust between the student and the university.
- Using modern technologies to accomplish tasks and moving away from long routines that disrupt administrative work.
- Establishing a special database for graduates that includes their academic history and all matters related to the graduate.
- The department aims to sponsor student rights in all aspects guaranteed to them by laws and instructions.
- Providing all facilities to the student and the best service and guidance worthy of a university student committed to laws and valid instructions.
Department Tasks & Duties
- Announcing central admission results received from the ministry each academic year, distributing them to the university's colleges, unifying admission plans received from colleges, submitting studies regarding them, and raising them to the University Council.
- Following up on the implementation of examination instructions, regulations, decisions, and directives issued by the ministry and the university regarding undergraduate student affairs.
- Executing orders and directives issued by the ministry and university presidency in the field of student and graduate affairs for undergraduate studies.
- Responding to official correspondence received by the department from (the Ministry, Cultural Attachés, University Presidency, Colleges, Departments, Ministries, and Governmental Institutions, etc.).
- Coordination with registration units in colleges to audit admission, transfer, and hosting, and following up on the issuance of special student orders.
- Coordination with colleges and other relevant authorities in auditing the authenticity of issued documents for accepted students and university graduates based on requests from beneficiary entities.
- Informing the ministry and the Department of Studies, Planning, and Follow-up of forgery cases in academic and university documents discovered by the colleges.
- Issuing university graduation orders for morning and evening studies for both rounds in light of administrative orders issued by the colleges.
- Following up on registration units in colleges through field visits to achieve direct interaction, view the reality of work, and assist in overcoming problems if any.
- Communicating with Messrs. Assistant Deans, Registration Directors, Heads of Scientific Departments, and Rapporteurship regarding everything concerning students.
- Supervising the application process for evening study in the university's colleges, following up on it, announcing their admission, and distributing them to colleges and departments after obtaining official approvals.
- Participating in auditing and investigative committees related to student affairs and developing staff capabilities through the participation of department staff in training and development courses and attending official meetings of the department and the university.
- Sending lists of names of university college graduates to the university's website for publication in light of college data.
- Using electronic programs in work, including achieving electronic archiving of mail and using email for correspondence with institutions inside and outside Iraq.
- Certifying graduation documents of university colleges for undergraduate studies.
Department Structure (Registration and Admission Division)
- Following up on the implementation of instructions, regulations, and directives issued by the ministry and the university regarding admission, transfer, hosting, etc.
- Responding to official correspondence received from the ministry, university, and colleges.
- Preparing studies regarding examination instructions as well as proposed admission plans from university colleges and submitting proposals.
- Building a database with all student details (revocation of enrollment, failure, cancellation of admission, forgery, etc.), following up on it, and updating it periodically.
- Following up on the division's mail, conducting official correspondence, and printing and editing letters.
- Following up on the implementation of central admission and other channels issued by the ministry.
- Auditing student data for cases (transfer, hosting, re-nomination, transfer of faculty children, etc.) according to regulations.
- Following up on the implementation of admission in evening studies (general channel, families of martyrs channel, etc.).
- Preparing university orders for admission in morning and evening studies.
- Participating in auditing and investigative committees related to student affairs.
- Activating exam numbers electronically through the electronic system prepared by the ministry.
